How to use the Professional Email Writer agent skill
Updated · written with AI from the project's own documentation and checked against our catalogue data
The Professional Email Writer is an agent skill: a folder containing a SKILL.md file of written guidance that an AI agent loads when you ask it for help with business email. Once it is installed, the agent drafts and reviews messages using a set of communication principles covering tone, structure and clarity. This guide shows you how to install it, how to ask for help in a way that triggers it, and what to expect from the output.
Quick start
- 1Download the ZIP. Download the email-writer skill ZIP from this page.
- 2Unzip it into a skills folder. For a personal install, unzip into ~/.claude/skills/. For one project, unzip into that project's .claude/skills/ folder.
- 3Or upload it in the Claude apps. Open Settings, go to Capabilities, then Skills, and upload the skill.
- 4Make a specific request. Describe the email type, the recipient and what you need, in plain language.
- 5Review the draft. Check the main point, the deadline and the tone against the recipient before sending.
- 6Send through your own email program. The skill does not send email, so copy the final text into your mail client yourself.
What the email-writer skill makes the agent do
The skill gives the agent a consistent approach to business email. It asks the agent to lead with the bottom line up front, stating the purpose, decision needed or key information in the first sentence. It also asks the agent to make every request explicit, including what is needed and by when, and to match tone to the relationship, so an update to your team reads differently from a request to a vice president or a negotiation with a vendor.
The skill also includes ready-made structures for four common email types: status updates, requests for decision, introductions and escalations. It recommends keeping emails scannable with short paragraphs, bullets and bold key phrases, and it lists pitfalls such as burying the request in the third paragraph or using passive-aggressive phrases like "per my last email".
Install the email-writer skill
Download the ZIP file for the skill from this page. The skill is a single file, SKILL.md, so the download contains that file inside a folder named for the skill.
For a personal install that works across your projects, unzip the download into ~/.claude/skills/. To limit it to one project, unzip it into that project's .claude/skills/ folder instead.
If you use the Claude apps rather than a local setup, open Settings, go to Capabilities, then Skills, and upload the skill there.
- Personal install: ~/.claude/skills/ (available across projects)
- Project install: .claude/skills/ inside your project folder
- Claude apps: Settings → Capabilities → Skills, then upload
How to trigger the skill with natural requests
You do not need a special command. Ask for email help in ordinary language and say what kind of email it is, who it is for and what you need from the recipient. The more specific the request, the more the agent can apply the structures in the skill.
Mention the email type when you can. Words such as status update, decision, introduction or escalation match the patterns the skill describes, and words about the recipient, such as executive, client or teammate, help it choose the right tone.
- "Draft a status update to my VP on the Q3 migration. We are at risk on the database step."
- "Help me ask our vendor for a decision by Friday on the revised contract, with two options."
- "Review this email to a client. Is the ask clear and is the tone right for a first contact?"
- "Write an introduction email connecting our designer and the agency lead."
Examples of what good output looks like
Ask the agent to review a draft you already wrote and it should check the first sentence for the main point, look for a clear deadline and flag passive-aggressive wording. Ask for a fresh draft and you should get a subject line that states both topic and urgency, a short context line, a details section and a closing ask with a date.
The skill also recommends that you not send emotionally charged emails straight away. You can ask the agent to help you soften a draft, and then reread it yourself before sending.
- Subject line example from the skill: "Decision needed by Friday: Q3 budget allocation"
- Structure: Context (1-2 sentences), Details (bullets or numbered items), Ask (next steps with deadlines)
What the skill needs and how it stays safe
The skill lists no requirements. It does not run scripts and does not use the network. It is written as guidance only: it does not send emails, read your inbox or schedule meetings, and the file contains no code or integrations. Anything you want sent still has to go through your own email program.
Because the skill is only text, it cannot check facts about your business. Review every draft for names, dates, figures and commitments before you send it.
- No listed requirements
- Runs scripts: no
- Uses network: no
- Does not access your inbox or send email
Tips for getting the most from it
Give the agent the real context. A draft written from a short summary of the situation usually needs fewer edits than one written from a vague brief. Include the recipient's role, the deadline and what you want them to do.
Use the skill for review as well as drafting. Paste in an email you have already written and ask what is buried, unclear or too blunt.
- State the deadline in your request so the ask can include it.
- Ask for two or three options when you need a decision, since the skill's decision pattern uses them.
- Use CC and BCC intentionally: the skill advises explaining in the body why someone is copied if it is not obvious.
What people use it for
- Drafting a weekly status update for executives that leads with on-track, at-risk or blocked status.
- Writing a request for decision that lists two or three options, pros and cons, a recommendation and a deadline.
- Reviewing a client email for explicit asks and a tone that fits a first contact.
- Writing an introduction email that explains why two people are being connected and then steps back.
- Drafting an escalation that states what was tried, the impact of delay and the help needed.
Frequently asked questions
How do I install the email-writer agent skill?

Our verdict
Choose this skill if you write frequent business emails and want clearer, more direct drafts with explicit asks and deadlines, especially for status updates and decision requests. Pick something else if you need help with legal, medical or regulated correspondence, high-stakes cross-cultural negotiations, or an assistant that actually sends and manages your email.
